Before you automate chaos: fixing the service catalogue and governance first

Most automation conversations start too late - at the solution layer, not at the structure that defines the work. In many HR Service Delivery environments, a significant share of effort sits in routing, clarifying, and reassigning cases rather than resolving them. This session examines how catalogue design, intake patterns, and ownership models shape that hidden workload and limit automation outcomes. It also reflects on key design trade-offs when structuring a catalogue at scale, including how to balance CoE-based models with existing process landscapes such as HR annual cycle, and outlines an approach to addressing them through clearer catalogue design and governance.

Objects in mirror are larger than they appear: The Illusory Simplicity of Global HRSD

When planning a global ServiceNow HRSD rollout, teams usually obsess over the "heavy monsters": complex enterprise integrations and strict security rules. But what happens when the big architecture goes smoothly, but your project timeline bleeds from the "simple" things?

In this transparent session, we flip the traditional risk matrix on its head to expose the real, hidden bottlenecks of global deployment:

  • The Notification & SLA Trap: Why managing localized email templates across multi-language translations and mapping complex regional holiday schedules into a unified global SLA framework consumes 300% more time than estimated.
  • The Nomenclature War & Regional Configs: How to bridge the immediate vocabulary gap between HR business stakeholders and developers on Day 1, while tackling the deceptive complexity of regional calendars, schedules and translations.

ROUNDTABLES SESSION

1. Building AI-Assisted Ticket Automation: What Works, What Doesn’t & Why

Working on AI ticket automation in ServiceNow? Join this roundtable to compare different approaches to building internal solutions - covering classification, drafting, and automation. We’ll focus on real trade-offs, design decisions, and lessons learned from implementations, not just theory. Ideal for participants with practical experience who are willing to share insights.

2. ServiceNow Experts in the age of agentic AI: Which skills to maintain, which to develop, and which to let go?

Will the changes brought by new agentic AI technologies developed by ServiceNow - and, more broadly, by automation using agent-based systems - affect our work as ServiceNow experts? Let’s discuss this question from various perspectives: our role, platform modules, and hard and soft skills.

3. Bring your case to discuss with others

Is there a ServiceNow topic that’s currently on your mind and you’d like to discuss in more detail? This roundtable is just for that - bring your topic to the forum, and we’d be happy to discuss it and share our perspective.

* The number of places is limited to the size of the room. First come, first served. You can sign up for roundtables at the reception on the day of the meetup.

What are ServiceNow Meetups by SPOC?

We are a group of enthusiasts who have been involved with ServiceNow for over 15 years. We know that although the technology is already "warmed up", there is still a lack of a tech community in Poland dealing with this platform. That is why we decided to change this and in spring 2024 we launched a group and meetings.

Our mission is to promote good practices, improve skills and gain experience among ServiceNow technology specialists, developers, architects, platform owners and platform development team leaders.

We do it by organizing online and on-site meetings, workshops, and presentations for the ServiceNow community in Poland. This space promotes people, their skills, knowledge, and experience.

Join us, share knowledge and meet on-site in various places in Poland, Belgium and Luxembourg.
